Your account, your records, and your choices.
LGTM HK Limited operates Minuting and is responsible for the personal data described in this notice. “We” and “our” refer to LGTM HK Limited.
Account information
Google shares your stable account identifier, name, and verified email. We use them to create and recognize your Minuting account and personal workspace. Accounts are not joined merely because they share an email address.
Meeting records
Connected sources can import Google-generated transcripts and participant names. We retain complete original snapshots in private Cloudflare storage, with meeting ownership and processing metadata in our database. Only your authenticated workspace can read or download these records. New source artifacts do not replace earlier snapshots.
If you enable Notion publications, complete selected refined transcripts, participant names and identifiers, meeting metadata, and minutes are sent to your selected parent page.
Records remain until you delete them. Use Delete meeting in Record details to remove access and cancel processing. Private cleanup starts after a one-day safety period in bounded batches; outages or a backlog can delay completion. A minimal identifier prevents reimport into the same workspace. Disconnecting a source stops new imports but keeps previously archived meetings. Obtain the participants’ consent and follow your organization’s rules before importing meeting content.
AI processing & no training
We send supported English transcripts, participant information and relevant meeting context to Cloudflare Workers AI to refine complete transcripts and generate evidence-linked meeting minutes. Minutes are generated from the refined transcript. The AI model runs on Cloudflare’s infrastructure; we do not send this content to the model author’s hosted API.
We do not use or authorize the use of Google Workspace data to create, train or improve foundational or generalized AI or machine-learning models. This includes raw, aggregated, anonymized and derived data, such as refined transcripts and minutes. We use Cloudflare-hosted inference under applicable no-training terms and do not enable training or data-improvement opt-ins.
No training does not mean no storage. We retain AI requests, model responses and accepted versions in private Cloudflare storage so you can access your records and we can recover interrupted processing. Model errors never replace the original evidence. These artifacts are subject to the deletion and retention details below.
Calendar, cookies & storage
If you connect Calendar, we keep a bounded view of organizer-owned Meet events on your primary calendar: titles, times, recurring-series identifiers and Meet links. Calendar access is read-only and optional. Disconnecting the source removes this upcoming view; already captured meeting records remain. Calendar notifications stop or expire.
Cloudflare hosts account and workspace records and revocable sign-in sessions. Essential HTTP-only cookies keep you signed in, protect sign-in attempts, preserve your appearance choice, and maintain consistent reads. Sessions expire after seven days. Signing out revokes the current session.
Sign-in attempts expire after ten minutes and are removed when used or during later sign-in cleanup. We do not keep Google access tokens or request offline meeting access during login. Account records remain until you use Delete account under Account in the page header. Account deletion revokes every session, clears your name and email, disables connections and queues cleanup of your workspace and meeting artifacts.
Separate Google authorization
Connecting Google Meet separately authorizes read-only transcript access and meeting notifications for spaces you own. We store the source profile, granted scopes, subscription metadata and an encrypted refresh token; access tokens are not persisted. We do not sell account information or use advertising trackers.
Disconnecting a meeting source stops its subscription and removes its saved authorization without unlinking your Google login. If Google has already revoked access, the unusable token is removed and the subscription is allowed to expire. You can also review app access in your Google Account settings. Google API information is used only to provide the features you authorize, consistent with the Google API Services User Data Policy and the Google Workspace API User Data and Developer Policy, including their Limited Use requirements.
Optional transcription controls
If you allow transcription controls, we save automatic-transcription settings and their check times for upcoming Meet links. Google grants permission to read and change Meet settings; Minuting changes only automatic transcription when you explicitly enable it. Disconnecting removes these saved observations, but does not undo settings already changed in Google Meet.
Disconnecting Google
Google credentials can be used solely for cleanup for one day after disconnect or account deletion, then are erased during a maintenance pass or explicit check. Storage outages can delay physical removal. If cleanup cannot finish, we wait at least eight days or a later reported subscription/watch expiration rather than claiming confirmed removal. Google originals and Calendar events are not deleted.
Notion authorization
Optional Notion setup accepts an internal connection token or personal access token. We send it only to Notion to verify its identity and read accessible page metadata and, when explicitly enabled, publish native meeting content. An internal connection accesses pages shared with its bot; a personal token acts with your user permissions in its workspace, not just access to your selected parent.
We store the encrypted token, authentication method, verified bot/workspace or user identity, and bounded parent-page titles and identifiers. Some personal-token responses omit workspace identity; none of the supported identity responses reports token expiration. The token is never shown again.
Disconnecting Notion
Disconnecting Notion removes the saved token and page metadata and disables future publications. It does not revoke the token at Notion or delete Notion pages. Revoke it in Notion’s developer portal if it is no longer needed. Previously published pages remain in Notion; Minuting does not delete them or overwrite your edits.
Deletion & retained copies
Deletion leaves Notion pages, downloaded copies and text already open in another tab. A provider request already sent may still finish. Cloudflare database history may retain earlier states for up to 30 days, depending on the plan; these controls do not purge backups or platform Workflow/log history. Minimal completed account-cleanup records are eligible for removal after 30 days.
